What does "Day-Of Coordination" actually mean?

If you thought that “Are you hiring a wedding planner?” was a “Yes” or “No” question, think again. There is a happy medium between hiring a full-service planner and winging it all on your own, and that is the day-of coordinator. The biggest myth about day-of wedding planners is that you don’t need one. Don't let yourself fall into that trap!

As you begin planning you might hear about "Day-Of" Coordinators. This type of planning package is marketed towards the couple who doesn't necessarily need the help of a "Full Planner." This couple is probably one you would think of as being more "DIY". This couple may have lots of craft help and they might even already have a venue and vendors lined up, however, this couple is also aware enough to know that there is A LOT that goes into actually making that special day happen, behind the scenes. This is where a coordinator comes in. We firmly believe that you simply can't star in and direct your own day! You simply cannot be in two (or sometimes twenty places) at once.

An often poorly understood concept, the day-of coordinator can be a life saver for couples who don’t have the budget for a full-service planner; couples who thought they could do it all alone and then realize, close to the wedding, that they were wrong; and couples who actually manage to plan it all alone, but then wisely realize that they shouldn’t leave the day-of nitty-gritty in the hands of their mother or maid of honor. Remember, your family and friends are your guests too, and you want them to be able to relax and enjoy your wedding.

These coordinators don't just show up that day and... handle it, either. Well partly they do, but you may wonder how do they magically show up that day and seem to know all the details and all the vendors' plans? How do they know all the bridal parties' names and which groomsmen is probably going to be late. How do they know that the bride's grandfather needs to have a place to sit during pictures? It's quite simple. A good coordinator knows because they spend a lot of time getting ready! A true coordinator never just works "Day-Of."

When we become your day-of coordinator we will be the new point of contact for your vendors. We will introduce ourselves to your vendors and get an idea of what to expect on the wedding day. We will review your contracts and understand exactly who is doing what and when. We will create your day-of timeline, which will break down all the details regarding arrival times, setup and breakdown. And most importantly, we will do a site visit with you, and discuss all of the details you have planned, to get an idea of how you envision the space on your wedding day. The day before your wedding, we will run your rehearsal, and on your wedding day, we will be there to run the show! We will even pack all of your goodies up at the end of the evening (cake knives, flutes and gifts), distribute the tips, and ensure the hotel of your choice has “romanced” your bridal suite if you should wish it! Above all else, we make sure you, your bridal party, your family, and all your guests are having the best time possible! Starting a month out, we will suggest that you to turn off your phone. We will take over vendor contact, share timelines with your family and bridal party and handle any, "Wait - what time do I need to be there?" questions that come up!

Finally, the actual "Day-Of" part, we will handle your rehearsal the day before and we will be there every step of the way on your big day to make sure every detail is executed just as you want it.

Even if you are on a tight budget, don’t let the price tag keep you from contacting a day-of coordinator. If you find one that you like but is out of your budget, consider reaching out to them anyway. Be honest about what you are able to spend. If you contact them early enough, they may even be able to suggest vendors who can save you money.

So just remember, when you hear the term "Day-Of Coordination or "Month- Of Coordination", don't let that distort your perception of what you're getting when you hire a coordinator. You're getting someone who is going to work for a lot longer than one day to make sure you remember your wedding day. They are going to do everything within their power to make sure you are truly present for EVERY. SINGLE. MOMENT. And that your friends and family get to be present along with you. Does every couple need at least a Day Of Coordinator? YES. YES and YES. You are spending a lot of money on this day. A day that you don't get a "do-over" on. Have someone there who is looking out specifically for you. Someone who is going to protect and guard your dreams of this day. Have someone who is going to do everything they can to make this YOUR perfect day that you remember forever. We strongly recommend that every couple who are planning their own wedding hire a day-of coordinator. Planning your entire wedding without a coordinator is already stressful enough, so the least you can do is hire someone who can handle the stress of the day. Your peace of mind on your wedding day will be worth every penny!

And a final thought for you. Some couples choose to forgo a day-of coordinator because their reception venue includes a coordinator. Although this may sound similar to a day-of coordinator, beware: It is NOT exactly the same. It’s important that you identify exactly what your needs will be on wedding day and know ahead of time exactly what your venue coordinator is able and willing to do. Keep in mind that they will not call the limo driver who is running late, pin on all your boutonnieres, or assist the groom who can’t find his shirt. That is your wedding coordinator's job!
